What is Touchbase Doorman?
Doorman is a new authentication system for your
MLS, protecting your clients’ personal information
and listings from unauthorized access. Doorman
ensures that everyone who accesses your MLS website
is a member in good standing. This protects your
clients and makes sure everyone is paying their fair
share.
The MLS system exposes sensitive information to non-members. Listing vacancies, the presence of children, details of home contents, and client contact lists are all MLS data that is not readily available on public websites. This information must be protected from scammers, predators, and unethical business practices.
How does Doorman work?
Doorman uses voice recognition and a telephoneauthenticate you. Every once in a while when you log in to your MLS, Doorman will call and ask you to speak several numbers. Doorman doesn’t call on every login – most of the time, you’ll never know it’s there.
How much time does Doorman take?
The first time Doorman calls, it will guide you through the simple enrolment process. Doorman will ask you to repeat several series of numbers, and the enrolment should take about two minutes. After that, Doorman will only call you a few times per month when you log in, and each authentication will take about 30 seconds. With each successful authentication, Doorman will call you less and less frequently. In most cases, you will only have to authenticate with Doorman a few times each month.
What do I have to do to prepare for Doorman?
Nothing! There’s no training required, no new hardware, and no new information to remember. Continue to log in to your MLS system normally. After logging in you may see a web page where Doorman asks you for your phone number to enroll. During this first Doorman call, it will ask you to repeat a series of numbers. Just speak in a normal, clear voice – don’t over-emphasize the words or speak too slowly. Follow the instructions on the screen, and it should only take about 2 minutes. When finished, you’ll go right into your MLS system.
How do I authenticate with Doorman?
After enrolling, you may see a Doorman authentication screen every once in a while after logging in. Simply select the phone number where you want Doorman to call you. Doorman will call and ask you to repeat a 4-digit number. After your voice is matched, Doorman will call you and ask you to repeat a 4-digit number, followed by your phone number, and you will be routed directly to your MLS system. DO NOT CLOSE THE DOORMAN BROWSER WINDOW – that will be considered a failed authentication and will cause you to have to authenticate more often in the future.
What if I can’t answer a Doorman call or am on the phone with a client?
There may be rare times when Doorman asks to authenticate your account, but you aren’t able to answer the call. If you are on the phone with a client or out of cell phone range, you can use the “Not Now” feature to postpone the authentication and access your MLS right away. To use this feature, click the “Not Now” button when you see the Doorman screen. Doorman will send you an email and notify your MLS that you skipped an authentication. ONLY USE “NOT NOW” WHEN YOU ABSOLUTELY MUST – if you use it regularly, Doorman will authenticate your account more often, and you may lose the “Not Now” privilege.
My online bank account doesn’t have this much security. Why do we need it for the MLS?
With personal accounts like your online bank, the only person who can access your information is you, and you are very motivated to keep your login information private. In the MLS, anyone with a shared login can access sensitive data that could affect you and your clients. Because all the system users have shared access to this sensitive data, it is important to ensure that every user who logs in is authenticated as a MLS member in good standing.
